Events Agreements

TERMS AND CONDITIONS OF ATTENDANCE AND PARTICIPATION AT ASCCC EVENTS/CONFERENCES

By registering for ASCCC Events you are agreeing to these terms, which form a legal contract between the Academic Senate for California Community Colleges ("ASCCC"), and the registered attendee and/or participant (“You”). If you are registering on behalf of another it is your responsibility to ensure that the person attending is aware of these terms and accepts them, and by completing the registration you are warranting that you have made the attendee aware of these terms and that they have accepted these terms.

1. Event Admission

1.1. Admittance. Your registration entitles You to admittance to the Event. Any and all other costs associated with your attendance (including without limitation any travel and/or accommodation expenses) shall be borne solely by You and ASCCC shall have not liability for such costs.

1.2. Termination. ASCCC and Management reserve the right to deny entry to Event or remove from Event any person who is behaving or threatening to behave in a manner in which Management, in its sole and absolute discretion, considers to be disruptive of Event or to its attendees.

1.3 Media and Likeness. By participating in the Event, You agree to grant permission to the rights of your image, likeness and sound of your voice as recorded on audio or video tape without payment or any other consideration. You understand that your image may be edited, copied, exhibited, published or distributed and You waive the right to inspect or approve the finished product wherein your likeness appears. Additionally, You waive any right to royalties or other compensation arising or related to the use of your image or recording. You also understand that this material may be used in diverse educational settings within an unrestricted geographic area. Photographic, audio or video recordings may be used for the following purposes: conference presentations, educational presentations or courses, informational presentations or workshops, on-line educational courses, presentations, or workshops, educational videos, and social media.

1.4. Event Content. You acknowledge and agree that ASCCC, in its sole discretion, reserves the right to change any and all aspects of the Event, including but not limited to, the Event name, themes, content, program, speakers, performers, hosts, moderators, and time.

1.5. Partnered Events Agreement. You acknowledge and agree that the Academic Senate for California Community Colleges may share your contact information (name, college, and email) with other partnered organizations of this event. The information collected will only be shared for outreach and communication by any partnered organization related to the event. All other uses of your contact information are strictly prohibited.

2. Fee(s)

2.1. Payment. The payment of the applicable fee(s) for the Event is due upon registration. If such payment is insufficient or declined for any reason ASCCC may refuse to admit You to the Event and shall have no liability in that regard.

3. Cancellations

3.1. Cancellations. Cancellations are subject to the entire Event registration fee. All sales are final and no payments will be refunded or refundable. Please note that if You do not cancel and do not access the Event, You are still responsible for payment. In no event shall ASCCC be obligated to refund all or a portion of the registration fee. 

3.2  Force Majeure.  The ASCCC will not be liable or responsible to the other party, nor be deemed to have defaulted under or breached this Agreement, for any failure or delay in fulfilling or performing any term of this Agreement when and to the extent such failure or delay is caused by or results from acts beyond the ASCCC’s reasonable control, including, without limitation, the following: acts of God, strikes, boycotts, labor disputes, government requisitions, restrictions or war or apparent act of war, terrorism, disaster, civil disorder, epidemic or pandemic, curtailment or restriction on transportation facilities, or any other comparable calamity, casualty or condition (collectively a “Force Majeure”). ASCCC shall have the right to immediately terminate the affected Event without liability and shall be relieved of its obligations to You.  If the affected Event is terminated due to a Force Majeure occurrence before the first day of the Event, then ASCCC will attempt to reschedule the affected Event and your registration fee may be applied to the rescheduled Event, at the discretion of the ASCCC. 

4. Photo Release Information

4.1 By participating in an ASCCC event, you agree to grant permission to the rights of your image, likeness and sound of your voice as recorded on audio or video tape without payment or any other consideration.   • conference presentations
  • educational presentations or courses
  • informational presentations or workshops
  • on-line educational courses, presentations, or workshops
  • educational videos
  • social media

5. COVID-19 Safety Measures

5.1.The Academic Senate for California Community Colleges (ASCCC) is no longer requiring proof of vaccination status or a negative test result to attend an in-person ASCCC meeting or event. Mask-wearing at ASCCC meetings and events is encouraged but will be optional.

ASCCC expects attendees to take responsibility themselves for following guidance from the Centers for Disease Control (CDC) on measures to reduce infection from COVID-19 and to protect against severe complications. ASCCC recommends all members follow the CDC’s recommendation that everyone over age 12 receive the updated bivalent vaccine as soon as they are eligible to do so (e.g., 2 months past their last shot).
